Data retention and audit log cleanup
What the tracker stores and for how long, and how to delete old action log records once or on a daily schedule.
The Settings → Retention («Настройки → Хранение») tab shows how many records are in the audit log, how much space CSV exports take and how many items are in the trash, and deletes old records of the user action log. Owners and admins can see the tab.
What the tab shows
At the top are three cards with workspace data.

The size in the CSV card is the size of the exports themselves, not of all tracker data. After records are deleted, disk space is not freed immediately.
Retention periods
Cleanup on this tab affects only the audit log and expired CSV exports. Everything else is listed in the What is stored separately («Что хранится отдельно») block.

Period and cleanup estimate
This is the Audit log cleanup («Очистка журнала аудита») block. Its state is shown under the heading: “Auto-cleanup is on” («Автоочистка включена») or “Auto-cleanup is off” («Автоочистка выключена»).
The Keep last days field sets for how many recent days audit records are kept. The default is 90; an integer from 7 to 3650 is allowed. The period applies only to the user action log.
Before a one-time cleanup and before turning on auto-cleanup, you need an estimate. The estimate does not delete anything.
- Enter a number in the Keep last days field.
- Click Estimate cleanup («Оценить очистку»).
A line like “Before 06.07.2026, 12:00:00: 1,240 audit records. Expired CSV: 3.” («Раньше 06.07.2026, 12:00:00: 1 240 записей аудита. Просроченных CSV: 3.») appears — how many records are older than the specified date and how many exports have expired. Under it are the Clean up now («Очистить сейчас») and Enable daily cleanup («Включить ежедневную очистку») buttons. If auto-cleanup is already on, the second button is called Save auto-cleanup period («Сохранить срок автоочистки»).
The estimate is valid for 15 minutes. If you change the number of days, the estimate is reset and you have to get it again.
One-time cleanup
- Get an estimate.
- Check the date in the estimate line: records older than it are deleted.
- Click Clean up now.
- Confirm the prompt “Delete up to N old audit records and up to M expired CSV? Deletion cannot be undone.” («Удалить до N старых записей аудита и до M просроченных CSV? Отменить удаление нельзя.»)
The message “Deleted: audit — N, CSV — M.” («Удалено: аудит — N, CSV — M.») appears, and the run is added to the history.
One run deletes up to 10,000 old audit records and up to 100 expired CSV exports, starting with the oldest. If more have accumulated, click Estimate cleanup again and repeat the cleanup. A one-time cleanup does not change the auto-cleanup period or state.
Deleted audit records cannot be restored.
Daily auto-cleanup
- Get an estimate with the period you need.
- Click Enable daily cleanup.
- Confirm the prompt “Delete audit records older than N days every day? The first run is in 24 hours. Deleted records cannot be restored.” («Ежедневно удалять записи аудита старше N дней? Первый запуск — через 24 часа. Удалённые записи восстановить нельзя.»)
The message “Daily cleanup saved.” («Ежедневная очистка сохранена.») appears, and the state changes to “Auto-cleanup is on”.
How the schedule works:
- The first run is 24 hours after you turn it on, and each next run is 24 hours after the previous one.
- A run deletes audit records older than the set period and expired CSV exports with the same limits: up to 10,000 records and up to 100 exports. The rest goes to the next runs.
- Under the block description, the line “Next cleanup: …” («Следующая очистка: …») appears with the date and time. If the tracker was not running at that time, cleanup starts after it is back up.
- After an error, the tracker retries the run in 15 minutes.
- While the license is not active, auto-cleanup does not run.
Change the auto-cleanup period
- Enter a new number in the Keep last days field.
- Click Estimate cleanup.
- Click Save auto-cleanup period.
- Confirm the prompt.
The first run with the new period is in 24 hours.
Turn off auto-cleanup
Click Turn off («Выключить») to the right of the block heading. No estimate or confirmation is needed. The message “Audit auto-cleanup is off.” («Автоочистка аудита выключена.») appears.
Cleanup history
The Cleanup history («История очисток») table at the bottom of the tab shows the last 20 runs out of 100 stored. While there have been no runs, the block says “No cleanups have run yet.” («Очистки ещё не запускались.»)

To see whether the auto-cleanup task is running, open the Status («Состояние») section: the Background tasks («Фоновые задачи») block, the Audit log cleanup row — see System status.
Error messages
An error is shown above the cards. Next to it is the Refresh data («Обновить данные») button: it reloads the tab state, puts the saved period back into the field and resets the estimate.
Repeat the preliminary estimate («Повторите предварительную оценку»)
The estimate is outdated: more than 15 minutes have passed since you got it. Click Estimate cleanup, then Clean up now.
First estimate the cleanup with the selected period («Сначала оцените очистку с выбранным сроком»)
The estimate became outdated by the time you turned on auto-cleanup or saved the period. Click Estimate cleanup, then Enable daily cleanup or Save auto-cleanup period.
Settings have changed. Reload the page before saving. («Настройки изменились. Обновите страницу перед сохранением.»)
Auto-cleanup was changed in another tab, or another admin changed it. Click Refresh data, check the period and state, and repeat the action. Before turning on auto-cleanup, get the estimate again.
The “Estimate cleanup” button does not respond
The Keep last days field does not contain an integer from 7 to 3650. Fix the value. If the field is unavailable, the tab state did not load — click Refresh data.
